Workstreams (Free)

Loading your planner…

A planner for your own projects

Keep each project’s goal, progress, tasks and where you left off in one place, then block out time for them on a Monday to Sunday week. Start focus on a task or a block to see it, a timer and its notes on one screen. Everything stays in this browser: no account, nothing uploaded. Workstreams Pro, with more to come, is on the way. This version is free.

How this works

Method

Everything you enter is kept in this browser as you type, as five lists (projects, their streams, tasks, time blocks and tags) that the backup page and folder sync merge item by item (an item changed on two devices keeps both changes, field by field). Progress is the number you set; the count of finished tasks beside it is only a hint. Blocks snap to 15 minutes and stay within their day.

Changes

  • Plan a workout, a meditation or a practice as a habit on the week, repeating on the weekdays you pick. It ticks itself off when you finish that session in its tool.
  • A goal on your vision board can become a project here, with a link back to the board.
  • Notes for every project, stream and task, kept as pages in the Markdown editor, and a focus mode with the task, its timer and its notes on one screen, with Done and the next task.
  • Streams group a project's tasks into parts you can fold away, and tags (Work, Personal or your own) with a filter keep work apart from the rest.
  • Tick a task done from its block on the week, the day view or Today; each project keeps its earlier "where I left off" notes as a history; edits on two devices merge without duplicates.
  • First published.

Frequently Asked Questions

Is it free?

Yes. It costs nothing and needs no account. Workstreams Pro, with more to come, is on the way. This version is free.

Where is my data stored?

In this browser, saved as you type. Nothing is uploaded. To keep a copy or use it on another device, open Backup & sync (binarydecimal.com/backup, linked in the footer): download one backup file, or turn on folder sync to keep your devices in step through a folder in your own Dropbox, Google Drive, OneDrive or iCloud Drive. Clearing this site’s data in your browser deletes it.

What are streams?

The parts of a project, such as Design and Content, each with its own tasks and quick add, in a section you can fold away. Tasks in no stream sit under Other tasks.

How do I keep work and personal things apart?

Tag projects (or single tasks and blocks) Work, Personal or your own tags, then pick one at the top of the sidebar to see only what has it, on the dashboard, the week and ⌘K.

Can I keep notes for a task?

Yes. Every project, stream and task has Notes, a page in the Markdown editor in a Workstreams folder (project, then stream, then task), so you can also read and edit them there; a filled page icon means it has notes.

What is focus mode?

Start focus on a task or a time block and you get the task, a timer and the task’s notes on one screen. Done ticks the task off and offers the next one in its stream, and Back returns you to where you were with the timer still running.

How do I block out time?

Open Week. With a mouse, drag down an empty slot to draw a block, drag a task from “To plan” onto the grid, and drag a block or its top or bottom edge to move or resize it. With a keyboard, Tab to a block and use the arrow keys. On a phone, tap an empty slot or use Schedule… on a task. Blocks snap to 15 minutes and take their project’s colour.

Can I plan workouts or meditation here?

Yes. Pick Habit in the new block sheet, choose Workout, Meditation or Practice (a practice from the Practice Ledger), set a time and, if you like, the weekdays it repeats on. When you finish that session in the tool the same day, the block ticks itself off. You can also tick it by hand, and Schedule in Workstreams in each of those tools opens this sheet filled in.

What is “where I left off”?

When you leave a project after changing something in it, or move to another project after a couple of minutes in one, Workstreams offers a one-line note for future you (Esc skips it; turn the question off or on in the ⋯ menu). Next time you open the project, the latest note is at the top with how long ago you wrote it, and the earlier ones are under History, so getting back into it takes seconds, not a morning.

Can I paste a project into an AI chat or a doc?

Yes. Copy a project as Markdown from its ⋯ menu, the whole week from the app’s ⋯ menu, or either with ⌘K, and paste it anywhere: the goal, progress, where you left off (with the last few earlier notes), tasks and links come along as plain text. The tool itself sends nothing.

Does it work with my calendar?

Through .ics files, which every calendar app reads: download your blocks as an .ics file from the ⋯ menu and open it in Apple Calendar, Google Calendar, Outlook or any other app, and import another calendar’s .ics file to see its busy times on your week. Both happen in your browser; nothing is uploaded. Two-way sync with Google Calendar is coming. GitHub and Jira aren’t connected.
